Dental software migration

Switch dental software with confidence in your data.

Your current system holds years of patient history, balances and schedules. Moving it is the riskiest part of switching, so we don't promise it's easy. Here is exactly how we do it, what comes over, and what you check before and after.

In short

  • A preview run first, which writes nothing.
  • A report listing every rejected row, and why.
  • Totals from your old system compared with what landed in AveoDent.
  • A review with you in the first week, and an undo until new activity starts.

What transfers

  • Patients and their contact details
  • Providers, staff and chairs
  • Appointments and recalls
  • Procedures, treatment plans and fee schedules
  • Clinical notes, perio exams and tooth conditions
  • Insurance carriers and benefits
  • Payments, claims, referrals and lab cases
  • Documents and x-rays (JPG, PNG, TIFF, PDF and DICOM files)

How a migration runs

1. Inventory your data

You export your data from your current system as CSV files, plus a folder of documents and x-rays. We have built-in column mappings for Dentrix, Eaglesoft, Open Dental and Curve. Other systems are mapped column by column.

2. Run a preview

A preview run reads every file and checks every row without writing anything into your new practice. You see what would come in, what would be rejected and why, before any of it is real.

3. Read the reconciliation report

For each kind of record, the report shows how many rows were in your export, how many passed checks and how many landed. It lists every rejected row, which fields came through, anything that only fit into a free-text note, and appointments that would double-book a chair.

4. Check the totals against your old system

You give us the totals your current system reports, such as opening balances, production and payments. The report compares three numbers side by side: what your old system says, what was in the export, and what is in AveoDent.

5. Import, then review together

We run the import. Balances come over as an opening balance for each patient. You can review the migration from your own account, and the report is available as a PDF for your records. In the first week we go through balances, family links, the schedule and a sample of charts with you against your old system.

6. Undo if something is wrong

A completed import can be rolled back as long as the practice has not yet booked new appointments, posted new charges or sent claims on top of it. After that, fixes are made in place rather than by deleting records.

Questions to ask any vendor

Ask these whichever system you choose. A vendor that can't answer them in writing is asking you to take the riskiest part of the switch on trust.

  1. Which of my data comes over, and which does not? Ask for the list in writing.
  2. Do I see a preview of the import before anything goes live?
  3. Will I get a report that compares totals from my old system to the new one?
  4. How do balances come over: as one opening balance per patient, or as full history?
  5. How are family links and the responsible adult handled?
  6. What happens to documents and x-rays, and in which file formats?
  7. Can an import be undone, and until when?
  8. Who runs the migration, and who checks it with me afterward?

Your data stays yours after the move, too. See how export and data ownership work.
